How do you connect the medical questionnaire to EMMA-Timeff?

There are several ways to connect E-POS with the EHR.  These connections have been developed in collaboration with EMMA-Timeff.

    Step 1: The E-POS questionnaire is automatically sent to the patient

    Step 2: The patient completes the questionnaire from home or via a device at the outpatient clinic

    Step 3: Approval is given by the healthcare provider and E-POS provides triage advice

    Step 4: Once E-POS is completed, the PDF is automatically archived in EMMA

    In summary:

    We require time from:

    • The hospital's POS manager or project manager;
    • IT support from the clinic (approx. 35 hours);
    • (Potentially) a consultant for guidance during testing;
    • The technical implementation team of NovaCair. 
    • Email server or Outlook 365;

    Support is provided by NovaCair during the implementation of E-POS in combination with EMMA-Timeff. The implementation is divided into 5 phases.

    Phase 1: Exploration

    In this phase, the current workflow is mapped out and optimization opportunities are evaluated. NovaCair provides healthcare consultants free of charge during this phase.

    Phase 2: Preparation

    In this phase, NovaCair assists in drafting the plan containing the objectives, expectations, and working agreements for the project. The technical implementation team also supports mapping out the required processes for technical and medical data transfer and actions.

    Phase 3: Implementation

    In this phase, the technical work planned in the previous phases is executed.

    Phase 4: Onboarding & Go-Live

    During the onboarding phase, key users are trained in the use and management of the system. To relieve key users of this burden, NovaCair can also provide training for other users. Afterwards, E-POS goes live.

    Phase 5: Evaluation

    In this continuous phase, feedback is frequently gathered from the end-user and the product is refined where necessary to better align with user needs.

    Every organization is different. Some clinics have multiple locations, and not every department is equally digitally proficient. 

    All training programs are customized to match the needs and baseline knowledge of the team.

    Typically, at least the following is provided:

    • Comprehensive on-site training for administration, usage & support by key users;
    • Classroom usage training for end-users of the system for the entire POS or categorized by job group;
    • Development of support documentation and videos.

    In some cases, we also train POS screeners or anesthesia staff to conduct consultations more efficiently using the E-POS report.

    After the patient completes the questionnaire, E-POS generates a health report containing the triage advice, guideline references, and potential follow-up examinations or contraindications. This entire report is accessible from EMMA-Timeff.

    To guarantee patient safety, the report is displayed in a layout featuring clear warnings and categorizations based on organ systems.
